Serendipity Privacy Notice

Version 1.0 — September 2026

This notice explains what we do with the information you give us when you apply to join the Aeon Black Serendipity. It sits alongside our main privacy policy and applies specifically to applicants and members.

Aeon Black (Pty) Ltd is the responsible party for this information, as that term is used in the Protection of Personal Information Act.

What we collect

When you apply, we collect:

  • Your name, email address and phone number
  • The country and city you're based in
  • Your LinkedIn profile and website, if you choose to give them
  • Your capabilities, the industries and geographies you work in, and the kinds of engagement you're interested in
  • A professional summary in your own words
  • Up to five examples of work, each with the context, your role, the challenge, your contribution and the outcome
  • Your availability, capacity and preferred working model
  • Your typical day rate, if you choose to give it
  • If you apply as a business: the company name, registration number and VAT details

We don't ask for a CV. If you send one it becomes supporting evidence, not the record itself.

We don't collect identity documents, banking details or anything of that kind at application. Those come later, at contracting, if you take on work with us.

Why we collect it

Two reasons, and only two.

To assess your application, so we can understand what you do and decide whether the network is a fit.

And if you join, to match you to client assignments, so that when a relevant piece of work comes up, we can find you.

Our lawful basis

You give us this information voluntarily, and we process it with your consent, which you give when you submit your application. You can withdraw it at any time by asking us to delete your information.

We keep a record of the version of this notice you agreed to, so it's always clear what you consented to.

Who can see it

Only Aeon Black. Specifically, the two people who review applications.

Other members of the network cannot see your information. Your contact details, your day rate and any client relationships you tell us about are never visible to anyone else in the network. This is enforced by the system itself, not only by policy.

Where we propose you for a client engagement, we'll tell you what we intend to share and with whom before we share anything.

Where your information is kept

Our database is hosted by Supabase, on servers in Ireland.

This means your information is processed outside South Africa. POPIA permits this where the receiving country's law provides substantially similar protection, and the European Union's General Data Protection Regulation does. Our hosting provider is contractually bound to protect your information to that standard.

Our email is sent through Resend, also in the European Union.

How long we keep it

You join the network
For as long as you remain a member
We can't take your application forward
For twelve months, then we delete it
We keep your application on file because your capability may be relevant later
Until you ask us to delete it, or you tell us you're no longer interested
You leave the network
We keep your profile so you can return, unless you ask us to delete it
You ask us to delete everything
We delete it, and keep only an anonymous record that a deletion request was made and honoured

Your rights

You can:

  • Ask what we hold about you
  • Correct anything that's wrong
  • Update your profile yourself, at any time, using the link in any email from us
  • Ask us to delete everything
  • Stop receiving our newsletter without leaving the network
  • Leave the network entirely
  • Object to how we're using your information
  • Complain to the Information Regulator of South Africa

Members can do most of this directly. Every email we send carries a link to your profile and a one-click unsubscribe. Nothing requires you to ask us first, and nothing requires an account or a password.

Communications are separate from membership

Joining the network is not consent to marketing. They're two different things and we record them separately.

If you join, we'll contact you about assignments that fit what you do. That's the point of membership and it isn't marketing.

Our newsletter is optional. You can decline it when you apply, or unsubscribe later in one click, and it makes no difference to your standing in the network.

Security

Applications are stored in an access-controlled database. Only the two people who review applications can reach it, and that restriction is enforced by the database rather than by the interface.

Member access to profiles works through single-use signed links sent to the email address we hold. Members have no account and no direct access to the database. A link only ever opens the profile of the person it was issued to.

Changes to this notice

If we change it, we'll record the version. If a change materially affects how we use your information, we'll tell members directly rather than quietly updating the page.
